Deploying Microsoft Teams

Microsoft Teams brigns modern work methods at the fingertips of every employee: web conferencing, instant messaging and teamwork are managed in the same interface that can be accessed from anywhere. Implementing Teams in a controlled way requires managing change in working methods in a planned way, as well as active communication and support for all users.

HiQ supports the implementation of Teams in the following areas: 

1. Leading a change in work habits

  • Strong management support is needed for the change, as the introduction of Teams will change the way we work.

  • Leadership, communication, support model and preparedness for change should be planned well in advance.

  • With HiQ's support, planning is efficient and deploying Teams goes smoothly.

2. Instructions and communication

  • The minimum model determines which internal communication and teamwork tool is used for which purpose. In addition, it is good to consider what tools everyone needs to use and what services they can utilize if they want to. We help plan and document a minimal model that is easy for everyone to understand.

  • Teams itself provides good instructional videos for basic use, but in addition, tips and organization-specific instructions may be necessary. All instructional material is compiled into an information package in the intra.

  • Active communication about new ways of working, the benefits of Teams, and the training and support materials available will not only occure during the deployment project, but should be updated on an ongoing basis. HiQ supports in making a communication plan and producing communication materials.

  • A launch video is a great way to communicate to all staff about new ways and means of working. HiQ has implemented launch videos for M365 tools for several customers, with strong experience in M365 tools and deployment activities.

3. Training and support

  • Teams training should be provided at least to key persons: the Champions network, supervisors, or those who feel they need guidance with the new tool. HiQ's pre-designed Teams training packages help in the effective implementation of Teams.

  • Training can be recorded and published on the help page on the intranet using the Stream video service.

  • If the use of Teams is new, it is recommended to provide employees with a support channel where you can ask for help with Teams. A support Team or a Yammer group can be set up, where HiQ experts can also support end users.

4. Teams maintenance model

  • We help design and document the Teams maintenance model and review organization-level Teams settings.

  • If necessary, Teams can have a technical ordering process or workflows to facilitate lifecycle management.

5. Continuous monitoring and support for a new work culture

  • What happens when Teams is successfully deployed? We need to maintain a new kind of work culture, share successful user experiences, and look to the future changes in Teams. Microsoft is constantly updating Teams and new features are being released all the time.

  • As part of HiQ's support service, the Microsoft 365 roadmap is reviewed on a monthly basis and ongoing development and support is planned accordingly.
